Event and conference merchandise: what to order, and when to order it

Event merch has one deadline and no second chance. A conference tee that arrives the day after the conference is worth nothing. Here is what works for conferences, product launches, festivals and corporate events, the lead time that actually meets the date, and what a 100-piece order costs from our factory in Lahore.

What event merch is for

Identification: staff and volunteers need to be visible — a bright polo or tee with STAFF or CREW on the back, the event logo on the front.

Attendee gift: the tee or tote in the welcome bag, the thing people take home and wear. Quality matters here more than organisers expect; a thin tee is thrown away, a heavyweight one is worn for a year with the event's name on it.

Speaker and VIP: a premium embroidered polo, quarter-zip or bomber for the people whose photos will be published.

Sale: festival and concert merch that funds the event. Hoodies and tees with the artwork, ordered in volume, sold at a margin.

The lead time that actually meets the date

From approved artwork: 7–10 days for decorated stock garments in Lahore. Add shipping — one to two days within Pakistan, three to five days by air express to the Gulf, UK or North America, two to four weeks by sea. Add two to three days at the start for the quote, the mockup and your approval.

So an event in Karachi needs the order confirmed three weeks out; an event in Dubai or London, four to five weeks out by air. Sea freight for a large festival order needs seven to eight weeks. We will tell you the latest confirmation date for your event on the quote, and we hold to it.

What delays orders: artwork that arrives as a screenshot and has to be redrawn, sizes that change after cutting, and a colour decision made twice. Send vector artwork, lock the sizes, and pick the colour once.

What an event merch order costs

From our current rate sheet at 100 pieces: a 200 gsm staff tee with a one-colour front and back print around $10.50; a 270 gsm attendee tee with a full-front DTF or screen print around $12; a cotton tote with a one-colour print around $6; an embroidered cap around $10; an embroidered VIP polo around $16. A 300-person conference with 30 staff tees, 250 attendee tees and 20 VIP polos lands around $3,600 before shipping.

Screen printing is the method for event volume: one setup, and the per-piece price falls steeply past 100. The calculator shows the curve; enter your attendee count and watch it.

Event merch from Lahore, delivered to the date

We produce event merchandise for conferences, corporate launches, festivals, university events and sports tournaments across Pakistan, and ship event orders to organisers in the UAE, Saudi Arabia, the UK and Canada by air to meet fixed dates. Everything is printed, embroidered and packed in our own unit in Lahore, with packing by size and role — staff cartons separate from attendee cartons — so the event team is not sorting on the morning.

Minimum 50 pieces across the order, mixed garments and sizes; 30 per colour. Rush production is available for confirmed dates; ask when you enquire.

Common questions

How far in advance should I order event merch?
Three weeks for delivery within Pakistan, four to five weeks by air to the Gulf, UK or North America, seven to eight weeks by sea for a large order. We confirm the latest order date for your event on the quote.
What is the minimum order for event t-shirts?
50 pieces across the order — staff tees, attendee tees and caps can combine — with 30 per colour of any one garment.
Can you print STAFF on the back and the logo on the front?
Yes — two placements, priced separately. On a screen-printed tee the second placement adds roughly $0.90 per piece at 100.
Can you pack by size and by role?
Yes. Staff and attendee garments in separate cartons, each carton labelled by size and count, so the event team is not sorting on the day.
Do you offer rush production?
For confirmed dates, yes — ask when you enquire and we will tell you whether the date is achievable and what it costs.
Which garment do attendees actually keep?
A heavyweight 270 gsm tee. Thin promotional tees are thrown away; a heavy one is worn for a year with your event's name on it, which is the point.
Can we sell the merch at the event?
Yes — hoodies and tees with the artwork, ordered in volume at wholesale pricing, sold at your margin. Screen print keeps the per-piece price low.
Do you ship event orders internationally by air?
Yes, by express courier to meet fixed dates, tracked, with duties quoted up front so nothing is held at customs.
